Cold-climate cake logistics
What a Canadian winter does to a decorated cake between your kitchen and the venue, and what to change about transport and scheduling from November to March.

Winter does not ruin cakes on the drive. It ruins them in the twenty minutes after the drive, in a warm room, in front of everyone.
That delay is what makes cold-climate delivery counterintuitive. You arrive with a cake that looks perfect, hand it over and the damage appears while someone else is holding it. Almost everything below is aimed at that gap.
The dew point is the whole problem
Any surface colder than the dew point of the air touching it collects water. That is the only physics you need, and it explains every winter cake failure worth naming.
Here is the part that surprises people. Heated indoor air in a Canadian winter is dry, often sitting at 20 to 30 percent relative humidity. At 21 C (70 F) and 25 percent humidity the dew point is close to 0 C (32 F), below fridge temperature. So a fridge-cold cake carried into a dry, heated house in January often does not sweat at all, where the same cake in July would sweat instantly.
The winter risk is a different case: a cake that has sat at -10 C (14 F) in a vehicle, carried into a packed reception room. A room full of people, with catering steam and a kitchen door, is far more humid than an empty one, and the cake is now far colder than a fridge. That combination sweats hard, and fondant that sweats goes tacky, colours bleed and dusts streak.
The rule is the same as in any climate: the box is the buffer. The cake comes up to room temperature inside a closed box, so the condensation forms on the cardboard rather than on your finish. What winter changes is the size of the gap it has to cross. Coming up from -10 C (14 F) takes far longer than coming up from 4 C (39 F), and a large tiered cake takes hours, not minutes.
That rest window is the thing winter steals from your schedule, and it is the first thing to put back in.
Cold makes your materials brittle, not soft
The summer failure mode is slump. The winter failure mode is fracture, and it needs the opposite response.
- Butter below roughly 10 C (50 F) is hard. Buttercream stops absorbing impact and starts transmitting it, so a bump that would dent a summer cake will crack a winter one. The cracks usually appear on corners and along the base where the covering meets the board.
- Fondant gets brittle in cold and splits at edges, sharp corners and around tight curves. A finish that survived the kitchen can craze on the drive.
- Gum paste flowers and thin sugar work become genuinely fragile. Transport them separately and attach on site if you can.
- Chocolate cycled cold then warm develops fat bloom, the dull grey streaking on the surface. Chocolate that has had moisture condense on it develops sugar bloom, which is grainy rather than streaky. Both are cosmetic and both are a remake conversation with a customer who does not care about the distinction.
The seasonal adjustment follows from that. In summer you firm everything up. In winter you go the other way: a marginally softer buttercream, fondant kept more pliable, more forgiveness in anything that has to survive a jolt. One recipe and one consistency all year means you are optimised for one season and taking losses in the other.
The size of that adjustment is yours to set, because it depends on your recipes and on how cold the cake genuinely gets between your door and the venue door. The levers are the fat in the buttercream, the plasticiser in the fondant and the design itself: fewer sharp corners and fewer tight curves in the months when the covering will be cold in the hand. Whatever you change, test it at temperature. A trial cake that has been through a real drive in a real winter car tells you something a trial cake sitting on the bench never will.
Never put a cake in the trunk, in either season
Never the trunk. In summer the trunk is an oven. In winter it is a freezer, and it is unheated, unmonitored and out of sight. The rule is the same in both seasons for opposite reasons.
Warm the car before loading, then manage the heat. Ten to fifteen minutes of running time so you are not carrying a cake into a cabin at outdoor temperature. Then aim the vents away from the cake. A heater vent blasting one side of a box gives you a cake that slumps on one face and stays cold on the other, which is a strange-looking failure and an avoidable one.
Low, flat and not sliding. Floor behind a front seat, non-slip mat under the board. Winter braking is not summer braking and you will make at least one stop you did not plan.
Assume the cake gets carried through slush. Boot covers, a dolly with wheels big enough for uncleared ground and an extra pair of hands. Then ask the venue one specific question in advance: which door are you using, and has it been shovelled and salted. A loading door buried in snow at 4pm on a Saturday is routine. Finding out while holding a four-tier cake is not.
Schedule for the road, not the map
Your route planner's estimate is a summer estimate. In snow, on unploughed secondary roads, in the dark, with a cake you are not willing to brake hard for, the honest planning assumption is not a ten percent buffer. Budget close to double, and take the arrival time you get from that rather than the one you wish you had.
Three scheduling changes worth making from November:
Move deliveries earlier in the day. Not for temperature this time, for daylight. Across much of Canada it is dark by mid-afternoon in December, and delivering to an unfamiliar rural venue in the dark, over ice, is a different job from doing it at noon.
Take fewer deliveries per day in winter. The same number of drops takes materially longer, and stacking them the way you would in June means every delay compounds into the next one.
Have a written weather plan before you need one. A storm cancels your drive but does not cancel the wedding. Decide in advance which of these you offer: delivery the day before with venue storage, assembly on site so tiers travel separately, collection by the customer or a defined refund position. Put it in your terms so the conversation happens when the booking is made rather than at 6am in a blizzard.
On the refund line specifically, there is no single right answer and this post is not going to invent one for you. A deposit that covers the work already done, a full refund, a credit against a rebooked date: each is defensible, and which one fits depends on how far into the build a storm lands and on what the rest of your terms already promise. Choose before the season rather than during it, and write the choice into the same clause as everything else here.
The winter delivery checklist
Run this before every delivery from November to March:
- Is the cake fully chilled and structurally set, and is it boxed and sealed?
- Does the delivery note say, in words, that the box stays closed until the cake reaches room temperature, and roughly how long that will take?
- Is the car warmed, are the vents aimed away and is the mat down?
- Are fragile sugar elements travelling separately in their own box?
- Has someone confirmed which entrance you are using and whether it is cleared?
- Does your arrival time have the doubled travel buffer in it, and does it still leave the cake time to come up to temperature before it is displayed?
- Have you photographed the cake in position at handover?

Winter cakes fail at the two ends of the journey
Winter cakes fail from fracture and from condensation, not from heat, and both happen at the two ends of the journey rather than in the middle. Give the cake a slower material to travel in, give the drive twice the time and give the cake an hour in a closed box at the other end.
Then tell the customer about that hour, because the person who opens the box is not going to be you.
